What the batch retain library covers
ThermoInk keeps retained samples and production records for packaging jobs handled at our Jacobs base in Durban, with support for converters across South Africa. The library is built for repeat work where a small shift in shade, activation temperature, coating behaviour or security detail can cause problems on shelf or at pack-out.
Each retain entry is linked to the approved batch and can include printed samples, drawdown panels, substrate notes, press settings and test results. If a carton, sachet, label or flexible pack is rerun 6 weeks or 18 months later, the reference is ready for comparison.
- Retained ink drawdowns and printed samples
- Approved colour references with tint notes
- Security pattern records and verification notes
- Substrate, coating and surface preparation details
- Test outcomes for adhesion, rub and UV checks
Why repeat orders need retained samples
Packaging often changes hands between production teams, shifts and sites. A signed-off sample removes guesswork when the same pack needs to be rerun in Pinetown, Prospecton, Cape Town or at a converter in Gauteng. It also helps when coastal humidity, heat or storage conditions affect how inks behave on press and in transit.
Without a proper retain, teams can end up chasing the last run by eye and that usually means extra waste, slower startup and more scrap. A good library makes it easier to see whether the issue is ink, substrate, curing, coating or operator setup.
- Speeds up repeat production starts
- Reduces colour drift between batches
- Supports QA sign-off and traceability
- Helps with disputes over printed appearance
- Useful for export packs and regulated product lines
How we build and index each retain file
Every batch retain entry starts with the approved production sample. Our team records the formula or blend, target shade, threshold response if applicable, and the exact substrate used. Where needed we also keep notes on ink film thickness, coating compatibility and the curing or drying window used on press.
Records are indexed by job name, batch number, substrate type, pack size and date. For security-sensitive work, the file can also include UV verification setup notes, pattern placement and any inspection points used during production. That means a future run can be checked against the same standard, not just a memory of the first job.
- Job and batch indexing
- Formula and colour notes
- Print and cure condition records
- Security and verification references
- Retain storage and retrieval tracking
What is included in the service
The batch retain library service is practical and it is set up around the way packaging converters actually work. We can store the physical sample, keep the technical note pack, and link the retain to related services such as colour matching, drawdown panels and press startup support. If a client prefers, we can also keep a duplicate reference for the production manager and one for QA.
Common inclusions are listed below. If your job has special handling needs, such as temperature-sensitive packaging or security inks with a specific inspection method, we add those notes to the file.
- Physical retain sample or panel
- Formula reference and colour target
- Adhesion, rub resistance and UV test notes
- Compatibility notes for coatings and substrates
- Retrieval support for repeat runs
- Optional audit trail for internal QA records
Turnaround, review points and maintenance intervals
Initial retain setup is usually completed alongside the approved production run or within 1 to 2 working days after sign-off, depending on the job size and the tests required. For repeat work, retrieval is normally quick and can often be done the same day if the record is already on file.
We recommend a review interval every 6 to 12 months for active packaging lines, and after any major change in substrate, coating or print process. On older repeat jobs, especially where cartons have changed board supplier or pouches have a different seal layer, the retain should be checked before the next production start. That simple check can save a lot of back and forth.
- New retain setup: 1 to 2 working days
- Repeat file retrieval: same day where available
- Recommended review: every 6 to 12 months
- Recheck after material or process changes
Pricing approach for retain library work
Pricing depends on how much material must be retained, how many test references are needed, and whether the job needs long-term storage or added technical notes. Simple retain records for a standard repeat pack are priced differently from complex security ink files with multiple substrate tests and verification setups. We keep the approach clear so converters know what they are paying for before the job is locked in.
For larger plants and multi-site customers, we can structure retain work per batch, per SKU or as part of an ongoing production support arrangement. That is often the most cost-effective option for businesses that reprint regularly and need the same standard every time.
- Quoted per job, per SKU or per batch
- Storage and retrieval can be bundled
- Test-intensive work priced separately
- Repeat customers can request ongoing support terms
Who uses the service and when to request it
This service suits packaging converters, food and beverage packers, personal care lines, industrial packaging teams and any business that needs repeat colour or repeat security performance. It is especially useful for short runs, seasonal packaging and products that must match a previous approved pack exactly.
Request a batch retain library setup as soon as the first production run is approved. If you are changing supplier, changing board or film, or moving between plants in different regions, it is best to refresh the retain before the next press slot. Sibusiso Mthembu and the ThermoInk team work with production managers, QA teams and buyers to keep the record practical and easy to use.
- Best for repeat packaging orders
- Useful for multi-site production teams
- Helps during supplier changes and reprints
- Supports quality control and traceability
